What is agreeAdate for?
Planning an event can take a lot of time and expense to arrange. If you haven't
decided on a date, you need to know when everyone is available and pick the
best
date for everyone. And if you do know the dates, you need to send out
invitations and see who will attend. This causes headaches for anyone planning
a
business
meeting, a team captain planning match fixtures or even someone trying to
organise an
event with friends.
The whole purpose of agreeAdate is to make this arrangement process as easy as
possible. All of your events are arranged in one place and agreeAdate handles
the communication and the collation of the responses. This saves you lots of
time
and gives you an online platform from which you can send out supplemenatry
emails and publish an event page for everyone to refer back to.

How does agreeAdate work?
agreeAdate will send a personalised email invitation to your invitees containing
a link to your reply page. The form will adapt depending on the type of
invitation you send.
Usually people will just need to tick the dates they are
available
for and press a button.
You'll get an email whenever anyone replies and this will contains a link
back
into your agreeAdate event so you can quickly view the latest availability.
Once you've had enough responses, you can then make choices based on
avalability. This may be choosing the best date and time for a conference call or you
may be arranging a rota or picking sports teams from available players. You select
the type of event right at the start and are given appropriate options. Once
confirmed, everyone can use a simple link
to
add
the event into their calendar (e.g. Outlook).
It's so easy to set up and will save you loads of time and money spent on
calls
and texts!

How much does it cost?
You can use agreeAdate for free. You only need to upgrade if you want to store
more than 20 addresses in your personal address book or if you want to add your
own branding to the invitations.

What's the catch? How does agreeAdate make money out of it?
Our revenue comes from corporate branding and tailored solutions for business
applications. We also share revenue from partner services such as conference
call
charges. We do not pass on your details on to others. We won't use your details
for marketing purposes, sending spam email or anything other than sending the
invitations and other emails that are central to the agreeAdate process. Your
information is safe with us. agreeAdate is wholly owned and operated by
Professional Software Engineering Ltd in England (www.pseltd.com).

What will my invitees receive?
When you send out your invitation, your invitees will receive a text email. It
has to be text rather than a styled HTML email because a lot of people set
their spam filters to ignore HTML email. agreeAdate will suggest a message which you
can then edit. The email contains a link for people to follow to reply with
their availability.

What do my invitees need to do?
Your invitees will be asked to reply to your invitation by clicking on a
link in their email. This takes them to a web page containing your event
information and (if you
have
allowed it) the other invitees' availability in a grid. Here they just need
to
tick the
boxes
by the dates and times they are available. They can also add a message with
their reply and answer any additional poll questions you have set up.

What happens if an invitee changes their availabilty?
If an invitee has already responded to your invitation and then changes their
mind about their availabilty they can go back to the reply page and simply
alter
their date selection. Alternatively you can manually change their status in
step 4 by clicking on the availability icon and toggling
between
'available', not available' and 'not yet responded'. You can also use the menu
in step 4 to fill in forms for availability updates.
If the event date has been confirmed, your invitees will not be able to
amend their availability on the reply page so that people don't pull out
without
letting you know. They are asked to contact you by email if they are already
selected against a confirmed date.

Can I plan multiple dates and times?
Yes you can. The appointments, rota and sports modes treat each date as a
confirmed date. Each event can contain any number of dates, and any number of times
on each date. These may be dates you are suggesting (to find availability
before
confirming) or they may be dates that are already fixed (such as sport
fixtures).
You can also plan any number of simultaneous events.
